You filled the whole form carefully, but at the last step the portal refused your signature. This is one of the most common problems students face while applying for government exams and bank jobs — and one of the most stressful, because it usually happens close to the last date.
The good news: a signature is almost never rejected “just like that”. There is always a reason, and nearly every reason can be fixed in a few minutes. Below are the 7 most common reasons signatures get rejected, and the exact fix for each one. Work through the list, fix your signature once, and then submit with confidence. Most of these problems take less than five minutes to fix once you know which one you have.
1. Wrong file size
Every portal checks the size of your signature file automatically. If the file is bigger than the limit — or smaller than the minimum — the upload fails. For IBPS and SBI, the signature must be between 10 KB and 20 KB. A 25 KB file is too big, and a 6 KB file is too small; both will be rejected.
Fix: Resize your signature with our free Signature Resizer. Choose 20 KB as the target, and the tool brings your file into the 10–20 KB range.
2. Wrong dimensions
Some forms also fix the pixel size of the signature image. For IBPS and SBI it is 140 × 60 pixels. A file can have the perfect KB size and still be rejected if its width and height are wrong, because the portal checks both.
Fix: The same Signature Resizer sets the dimensions to 140 × 60 pixels automatically — that size is already selected when you open the tool.
3. Signature in CAPITAL letters
Many candidates write their name in big capital letters and upload it as a signature. Most banks and exam bodies do not accept that. They want your signature in running handwriting — the natural, flowing way you sign your name.
Fix: Sign again on paper in your normal handwriting, not in block capital letters, and upload a photo of that signature.
4. Signed on lined, ruled or dark paper
If you sign on a notebook page, the ruled lines are clearly visible in the photo, and they spoil the image. On dark or coloured paper, the signature also loses contrast. Both are common, avoidable reasons for rejection.
Fix: Always sign on a plain white sheet of paper — nothing else on the page, just your signature.
5. Blurry or very light photo of the signature
A thin, light signature almost disappears when the image is shrunk to a few KB. If the photo is also blurry, dark or taken from an angle, the signature becomes hard to read — and a signature nobody can read is a signature that gets rejected.
Fix: Sign big and bold with a black or blue pen. Take the photo in good light, holding the phone straight above the paper, and crop close to the signature before resizing it.
6. Signature does not match your documents
The signature on your application is matched with the signature on your documents, and with the signature you will do in the exam hall. If these look like three different people’s signatures, it can create a serious problem at the verification stage — even if your file size and dimensions were perfect.
Fix: Use the same signature everywhere — on the form, on your documents and in the exam hall. If your style has changed over time, practise the signature a few times on paper before you sign for the photo, so it looks natural and stays consistent.
7. Wrong file or wrong format uploaded
In last-day hurry, many students simply select the wrong file — their photo instead of the signature, or an old version that was already rejected once. Some upload a format the portal does not accept; portals usually accept JPG/JPEG images.
Fix: Before you press submit, open the exact file you selected and look at it once. Confirm it is your signature, in JPG/JPEG format, and the same file you just resized.
Your 1-minute checklist before submitting
Run through this quick list before you upload, and your signature should go through without trouble:
- File size inside the range given in your notification (for IBPS/SBI: 10–20 KB).
- Dimensions correct (for IBPS/SBI: 140 × 60 pixels).
- Signature in running handwriting — not capital letters.
- Signed on plain white paper, not lined or dark paper.
- Bold, clear, straight photo, cropped close to the signature.
- The same signature as the one on your documents.
- The correct file selected, in JPG/JPEG format.
Keep the corrected signature file saved on your phone with a clear file name. You can reuse the same file for other application forms that ask for the same size, which saves you from doing this work again on the next form’s last day.
