How to Reduce a Document PDF to Under 200 KB for Scholarship and Admission Forms

You have your marksheet in your hand, the scholarship form is almost complete — and then the portal stops you. Many scholarship portals, like NSP, and many admission forms set a very small maximum size for document PDFs, often 200 KB. A marksheet or certificate PDF made directly from a phone photo is usually many MBs, so it gets rejected again and again.

The good news is that bringing a document PDF under 200 KB is not difficult. You do not need a computer or any paid app. This guide explains why document PDFs become so big, and then shows the exact method to shrink them on your phone while keeping every word readable.

Why PDFs become huge

The problem starts with your phone camera. Phone cameras save photos at a very high resolution, because that makes photos look sharp and detailed. That is good for a photo, but bad for a form upload: a high-resolution photo is a big file.

When you convert photos into a PDF, the PDF keeps the full photo on every page. So if one page is already several MBs, a PDF of two or three pages becomes many MBs. The portal’s 200 KB limit is far below that. The fix is to make each photo smaller before and while making the PDF — not to fight with the portal at the last step.

The method, step by step

Step 1: Take the document photo properly

Take the document photo straight, in good light, and crop it close to the document’s edges. A straight, well-lit photo stays readable even after it is made smaller. Cropping close also removes the table, floor or fingers around the document, which only add size without adding anything useful.

Step 2: Shrink the image first (if it is already a photo)

If your document is already an image, first shrink it with our Compress Photo to Exact KB tool to a sensible size. Starting the PDF from smaller images makes the final PDF much smaller, because the PDF can only be as small as the photos inside it.

Step 3: Convert the images to one PDF

Now convert your images into one PDF with our JPG to PDF tool. Choose the “Small” quality for strict size limits like 200 KB, or “Balanced” normally. The tool makes the PDF inside your browser — your documents are never uploaded to any server.

Step 4: Check the final PDF size before uploading

Before you go back to the form, check the size of the final PDF file. On most phones, the file’s details show its size. Upload only when the size is under the portal’s limit — for a 200 KB limit, the file must be below 200 KB, not just close to it.

Step 5: Open the PDF and zoom in

Finally, open the PDF and zoom in on the text. The words, marks and numbers must stay clearly readable — a tiny file is of no use if the person checking it cannot read it. If the text looks too blurry, redo the PDF with the Balanced quality option and a better-lit photo.

Tips for document PDFs

  • One document per PDF: keep one document in each PDF unless the form specifically asks you to combine documents.
  • Simple file name: keep the file name simple, like marksheet.pdf — some portals reject files whose names contain special characters.
  • Respect per-file limits: if the limit is for each file, do not merge everything into one big PDF; make a separate small PDF for each document.

FAQ

The portal says maximum 200 KB but my PDF is 240 KB — what now?

Rebuild the PDF using the “Small” quality option, and use tighter-cropped document photos. Cropping close to the document’s edges and choosing Small quality together bring most document PDFs under the limit.

Will reducing the size make my marksheet invalid?

No. The portal only checks the uploaded file, so a smaller PDF of the same document is fine. But keep your original photos safe, and make sure every word in the reduced PDF stays readable before you submit.

Can I do this fully on my phone?

Yes. Both tools used in this method run in your phone’s browser, and your documents are never uploaded to our server. You can take the photo, shrink it, make the PDF and check it — all on the same phone.

File size limits differ from portal to portal, so always check the limit written on your own form before uploading. For more on how this site works, please read our Disclaimer.

Quick recap

Take a straight, well-lit photo, cropped close to the document’s edges. Shrink the image first if it is already a photo. Build the PDF with the Small quality option for a strict limit, or Balanced quality normally. Check the final file size on your phone, then open the PDF and zoom in to confirm the text is readable — and only then upload it to your form.
